Booking and Cancellation Policy


The UK Safer Internet Centre conferences are organised by the South West Grid for Learning Trust ("SWGfL", "we", "our", "us") with support from its partners; Childnet and the Internet Watch Foundation (the "Partners").

Where the UK Safer Internet Centre conference is held in Scotland, the conference is organised in association with the Scottish Government and the term "Partners" shall also include the Scottish Government.

All delegates will be invoiced by SWGfL prior to the conference. Full payment of the conference fee is due 30 days from the date of the invoice.

The delegate and firm and/or organisation are jointly and severally liable for the payment of all fees due to us.

If you are registered for the conference but are unable to attend, you can send a colleague in your place at no additional cost by logging in to the booking system using the login details that you create at the time of making your booking, and changing the delegate details.

If you wish to cancel your booking, we will refund your payment (or amend your invoice amount) in accordance with the policy outlined below: 
  • Cancellations will only be accepted in writing, by post (Bethan Morten, UK Safer Internet Centre, SWGfL , Belvedere House, Woodwater Park, Pynes Hill, Exeter, EX2 5WS), by fax (01392 366494), or by e-mail (esafetylive@saferinternet.org.uk);
  • Cancellations received up to 4 weeks (i.e. 21st Feb 2012) before the event will be liable for 50% of the full amount due.
  • No refunds will be given for any cancellations received during the 4 weeks prior to the event.
  • Please note that you will only be invoiced once, for the full amount. If you decide to cancel your booking up to 4 weeks prior to the event you will be reimbursed 50% of the amount paid.
  • If the booking is made 4 weeks prior to the event, we will operate a 0-day invoice settlement period.

General Terms


Changes to the Conference Programme:

Our aim is to provide you with current and accurate details of conference programmes based on commitments made to us, particularly by our speakers, facilitators and venues. From time to time things do not work out as we expect; speakers or facilitators are unable to attend for one reason or another, venues have difficulties of various kinds, technology fails and so on. Where we have advance notice of changes and problems we will endeavour to post relevant information on the event website as soon as is practicable.

SWGfL and the Partners do not and cannot accept liability for any changes, inaccuracies or omissions in our conference programme, our conferences and/or our publication of them.

Attendance at the Conference:

We and you are reliant on you and our attendees, venues, speakers, facilitators and other conference service providers: we and you expect that each will meet their obligations in such a way that every conference is successful, safe and suitable to the needs of each of our attendees. To help achieve this objective you agree to comply with all regulations, instructions and guidance regarding health and safety at the event.

You are not permitted to bring in any food from external venues to the conference venues due to health and safety considerations.

You are responsible for your personal possessions and are advised to keep valuables with you at all times. SWGfL and the Partners do not accept responsibility for anything that is lost or stolen from our conferences.

The opinions expressed by anyone in any way at or in the context of any conference are their own and not necessarily those of SWGfL and/or the Partners. Anyone offering any statement of facts shall do so only if they know or consider the statement to be true for good reason and shall offer an opinion only if they can show it is well founded in relevant facts. SWGfL and the Partners endorse the view and expect as a condition of conference attendance that each attendee accepts that differences of opinion and differences about what is or is not fact are a normal and necessary part of academic discourse provided care is taken not to cause unlawful offence or to be defamatory. SWGfL and the Partners are not and cannot be responsible for any statement of fact or opinion made or offered by anyone or for any unlawful offence or cause of litigation any person gives any other person.

The Company endeavours to cater for all delegates, however should a delegate have any special needs, i.e. wheel chair access, delegates should contact the Company with full details no later than
2 weeks before the start of the event they are attending.

Where the conference takes place in England, the content of the conference relates to the law and practice as it applies to English schools and English teachers and pupils. Where the conference takes place in Scotland, the content of the conference relates to the law and practice as it applies to Scottish schools and Scottish teachers and pupils.

Limitation of Liability:

The liability for SWGfL and the Partners for direct losses arising out of negligence (other than in respect of liability for death or personal injury), breach of contract, misrepresentation (other than in respect of fraudulent misrepresentation) and/or otherwise arising under or in connection with a conference booked under these terms and conditions shall be limited to the total sums you have paid for the conference.

In no event save to the least possible extent required by law shall SWGfL, its members, directors, employees or agents and/or the Partners be liable for any indirect, incidental, exemplary, punitive, special, liquidated, consequential or other damages whatsoever including, but without limitation, liability for loss of earnings, opportunity cost, budget, use, data or profits, without regard to the form of any action, including but not limited to contract, governmental funding, negligence or other tortious or other actions, arising out of or in connection with our conference programme or any conference or conference service, any speech, discourse or written content offered or accessed at or in respect of any conference comprised in our conference programme or otherwise including without limitation any broadcast, publication, display or other use on the UK Safer Internet Centre website or otherwise.

SWGfL and the Partners do not and cannot accept liability for any direct, indirect, special or consequential loss or damage of any kind arising out of the use of the UK Safer Internet Centre website and the information contained within it or any conference or written materials which may be provided to you at the conference.

Intellectual Property Rights:

All written materials including without limitation speaker notes, photographs, videos, images and logos published, produced, taken by, manipulated in any way or provided as a service by SWGfL and/or the Partners are copyrighted and may not be copied or reproduced without appropriate permissions. 

Data Protection:

If you provide us with personal data about yourself by sending an email or signing up for a conference or otherwise, we will use your details only for the purpose for which you provide them. We will not sell or give your personal information to anyone else, unless we have your explicit permission or because the law requires it. Please be thoughtful about providing your personal data to anyone you meet in person or otherwise at or in the context of one of our conferences; we do not undertake comprehensive checks on our attendees and you should be careful to manage your own risk in this regard.

During the registration process you will have the opportunity to NOT disclose your contact details on the delegate list available to other delegates and sponsors/ exhibitors. Please refer to our Privacy statement terms.

Law and Jurisdiction:

These terms and conditions shall be subject to the law of England and Wales and the English courts shall have non-exclusive jurisdiction in relation to any dispute or claim.

By accepting, you agree that you:
  • Consent to our use of your information in accordance with our Privacy Statement; and
  • Will be bound by these terms and conditions and that your completed booking form and these terms and conditions constitute a legally binding contract.
